- How often is SmarterMeetings.com updated?
- SmarterMeetings.com is updated every three months. Updates + Upgrades include new tools and resources added to the Smart Agenda Manager, new pdf and print resources, or simply free materials online through the SmarterMeetings.com public site.
- What makes SmarterMeetings.com different from other meeting tools?

Every meeting tool we can find online, or in print, focuses on the same thing; planning and organizing a meeting, NOT managing and leading a meeting. SmarterMeetings.com focuses on providing the tools and resources people need to build Smarter Agendas through planning the thinking processes needed in their meetings. Some meetings are creative, others are very analytical, and many are decision-based. Our traffic light methodology allows everyone in the room to understand exactly what style of thinking is needed in the meeting.
By keeping everyone on the same page, and very easily on track with either a Single Process or Multiple Process Agenda, anyone can learn and apply the basic principles of Smarter Meetings. - I lead a weekly meeting of 7 volunteers. How many subscriptions do I need?
- You will need 1 license. The Smarter Meetings package is completely self contained with handouts for your volunteers, videos and a PowerPoint show to explain how it all works to them and resource materials for you to learn the simple system.
- Can I purchase the Smart Meeting Agenda (SAM) as a separate item?
- The Smart Agenda Manager is a core piece of proprietary software that is only included in the SmarterMeetings.com System. Only those who are Members of SmarterMeetings.com will be able to access and use the Smart Agenda Manager as well as the tools and resources within the system. Unfortunately we cannot sell SAM as a separate piece of software at this time.
- How do I know the preferred thinking style for all meeting participants?
- There is no 'preferred thinking style' for all meeting participants in the sense that everyone has different skills, likes, and dislikes. The point of designing your Smarter Meetings with thinking styles in mind is because you can keep everyone in the meeting on track, in the same frame of mind, at the same time. This will allow you to get everyone involved, and move through each item effectively and efficiently.
- How do I compensate for the fact that I may not be able to choose people with the right thinking styles to attend my meeting?
- We believe everyone is smart, and by creating powerful and practical Smart Agendas, everyone will know exactly what kind of intelligence you need them to bring to the table. If the task calls for creative ideas, or brainstorming many different options, everyone knows what kind of information you are looking for. As you start improving your meeting management skills you will also start to recognize what kinds of thinking your colleagues are most comfortable with.
- When in “white” is the meeting only looking for volunteers or can the leader make assignments?
- It's often a bit of both. Ideally you will have people volunteer for the initiatives they want to take ownership of, but you will also have to help people take on the tasks that best suit their skills and schedule. By openly discussing and getting buy-in, the White zone can help you and your team take leadership of the different items that need some initiative to push them forward.
- I am assuming that I will produce an agenda for my first meeting and distribute it. How will my colleagues know what I am talking about?
- Yes, you will produce an agenda for your first meeting and distribute it. The Smart Agenda is the root to your success in every meeting. If you are the early adopter in your organization, or signing up for SmarterMeetings.com is an individual purchase for you and your clients, focus your time on crafting a very practical, easy to follow agenda to lead the other meeting members. SmarterMeetings.com also provides very effective video training resources that can be shown to clients at the start of the meeting to get them up to speed quickly.
- Can an electronic meeting timer be used instead of a recorder?
- We encourage people to use any tools they feel help them achieve the goal of getting more work done, in less time. The Role of Recorder is quite important as the meeting minutes, or notes, will be key in the future progress of the items discussed in the meeting. If you are able to use technology to capture voice recordings, and use those as your meeting minutes or notes, and if it works for you, do it! There are many ways to document what you discuss in meetings, but we always encourage the focus to be on the future, and making sure you are consistently progressing each item and deliverable.
- Have you suggested meeting templates for various kinds of common meetings?
- Within the SmarterMeetings.com Tools and Resources, there are a series of templates and proven-processes, also called Smart Tracks, that will help you and your teams work through a series of processes for problem solving. There are many meetings that are repeated, but you never know when you are going to need to inject some Creativity into your templates or standard processes.
